Job description, work day and responsibilities
We are recruiting for an Event Specialist to join our team! As a member of the Client and Business Development team in Calgary, reporting to the Director, Client Development and Operations, the Event Specialist 's responsibilities will include planning, coordinating and executing on all client events (in-person and virtual), client social events and sponsorships. Major Responsibilities Strategically approaching client events to ensure they meet our firm and client development objectives Evaluating our event offerings to ensure they are on brand and consistent in delivery Simultaneously managing multiple events for a variety of stakeholders Develop better list management processes within our CRM system and implementing these 'best practices ' with the Business Development team Input on speaker selection at client events Work with Hospitality group to improve client seminar process in the Conference Centre; check in, registration, set up As required, support hospitality with refreshing OslerStore merchandise to meet client development needs Set up and maintain the Osler Calgary Officewide Events Calendar Write and distribute event follow up material in a timely manner Coordinate and execute local, national and international virtual and in-person client seminars, client events, sponsorships, conferences and social functions Manage event logistics including lists, invitations, RSVPs, and work with Hospitality Services as required Responsible for communicating with clients and lawyers, including working with the creative team to develop invitations, signage and internal messaging Create and monitor event schedules and budgets Create and update event information in the firm's contact database and ensure the database list of sponsors, clients and contacts are maintained for invitation lists Coordinate with the other Osler offices to support their event programs as required Provide back up support in coordinating table sponsorship for business development in departments, including invites, RSVPs and payment. Provide guidance and training on best medium for virtual client seminars and social events Responsible for other duties as assigned Education and Experience University degree or college diploma and at least 5 years experience in coordinating events. An equivalent combination of education, training and experience may be acceptable. Knowledge and Skills Strong event management background (preferably in a corporate environment) with a demonstrated knowledge of event planning and management principles, methods and techniques Knowledge of webcasting and virtual event technology (ON24) and experience successfully running virtual events Proficient with MS Office, including Word, Excel, Outlook and PowerPoint CRM experience, or an equivalent system (Saleforce or OnePlace) Strong collaborative interpersonal skills and is comfortable to liaise with different levels in an organization. Ability to take ownership of projects, as well as multi-tasking multiple concurrent events Superior accuracy, attention to detail, creativity, time-management and organizational skills Superior customer service skills Strong communications and writing skills Experience with budgeting and expense monitoring Must have the flexibility to work extended hours for the safety of firm members and visitors, Osler is committed to complying with the recommendations of public health authorities, including with respect to adopting mandatory vaccination policies. Employment at Osler is therefore conditional on complying with any vaccination policies that Osler may adopt from time to time in response to the recommendations of public health authorities. We are currently working in a hybrid work arrangement, which includes a requirement to work primarily in the office and flexibility to work remotely up to 2 days per week.
